Day-of Coordinator

What are the duties of the Day-of Coordinator?

 

Pre-Event Coordination (4–8 weeks prior):

  • Review all vendor contracts and timelines
     
  • Conduct a final walk-through at the venue
     
  • Help create a detailed event timeline
     
  • Communicates with vendors to confirm arrival/setup times and expectations
     
  • Develops contingency plans (e.g., rain backup)
     

On-the-Day Management:

  • Point person for all vendors and guests (so you don’t get bombarded with questions)
     
  • Ensures vendors arrive and set up according to the timeline
     
  • Manages the event flow/timeline
     
  • Handles any last-minute issues discreetly
     
  • Coordinates transitions between parts of the event
     
  • Distributes final payments or tips to vendors, if needed
